The larger the organisation, the more visible the gaps: a directory with four hundred entries where a third show initials in a grey circle, a leadership page that was refreshed and a level below it that was not, an intranet that still carries a photograph of somebody who left in 2023. Paris headquarters carry exactly this shape. Fixing it does not require assembling four hundred people; it requires inviting them, in whatever order suits, and letting each one spend five minutes on their phone.

Filling a directory without a project plan
Directory photographs are the classic task that never gets funded, because no single department owns it and the benefit is spread thinly. What makes it tractable here is that the unit of work is one person and one credit, so it can start with a department that wants it and extend outward without any of the earlier work becoming inconsistent.
A colleague photographed in the first wave and one photographed in the fourth are generated from the same stored style, which is what stops a phased rollout from producing a phased-looking result.

Avatars that follow a brand change
Large organisations change their visual identity more often than they change their photographs, which is how an intranet ends up carrying two generations of ring colour. A brand template holds the colour, the crop shape, the ring, the badge position and the logo used to build branded profile pictures.
Editing it re-renders those pictures for every eligible member from the same underlying portraits, at two sizes, and progress across the organisation is shown as it completes. The portraits themselves do not have to be taken again for the avatars to change.

Who is missing, and a way to ask them
At four hundred people the useful artefact is not the gallery, it is the list of who has not finished. The people page reports each member’s state, from invited through uploaded to ready and approved, and reminder emails go out automatically on a fixed schedule up to a cap.
Reminders can be paused for one person or for the whole organisation when the timing would be wrong, while an admin can still send a direct request to a named colleague or to everyone invited who has not yet uploaded.

Frequently asked questions
Can different departments be invited at different times?
Yes, and that is the normal way to run a large rollout. Nothing about the style changes between waves, credits are spent as people upload rather than when they are invited, and the finished directory shows no trace of the order it was assembled in.
How do we handle people who have left?
A member can be deleted from the organisation, and the person themselves can erase their own record from the page in their invitation at any time, with a written confirmation. Nothing about a departure is left for someone to remember to tidy up later.
Our leadership photographs were done professionally last year. Do we redo them?
That is a judgement about consistency. A directory where twelve people were photographed in a studio and three hundred were not will still read as two sets, so most organisations either bring the leadership into the same style or keep the two groups on visibly separate pages.
Can we restrict who administers the account?
Administration requires an account with an owner or admin role on that specific organisation, and it can be placed behind the company identity provider with OIDC single sign-on. Two-factor authentication is available for those roles. Employees hold no account at all.
