Asking what a headshot costs produces an unsatisfying answer, because the three common ways of buying one are priced on different units and are not directly comparable. A studio typically charges by the sitting, an on-site photographer typically charges for a day, and a per-person service charges per person. This page sets the three structures side by side, adds the costs that never reach a budget line, and then says plainly what the arithmetic looks like here. Three pricing structures, three different units

A studio sitting is normally priced per person and per session, often with retouching and a limited number of final files quoted separately. An on-site photographer is normally priced as a day or half-day, plus travel and sometimes equipment, with a practical ceiling on how many people fit through the setup in that time.

A per-person service like this one charges for each colleague photographed and nothing else. The first two make the marginal person cheap until the day runs out and then very expensive; the third makes every person cost the same.

The hours that never reach the budget

Whatever appears on the invoice, a shoot also consumes working time that nobody records: the organiser who schedules it, the room taken out of use, the queue, the travel for anyone based elsewhere, and the follow-up round for everybody who was away.

Multiply thirty minutes of interruption by fifty colleagues and the internal cost is frequently larger than the photographer’s fee. That figure never appears in a comparison because no invoice carries it, which is precisely why a like-for-like table built from quoted prices tends to flatter whichever option is arranged around a diary.

The second cost: keeping the set consistent

A single shoot prices the day it happened. What it does not price is the following eighteen months, when nine people join, two change roles and one becomes the face of a campaign. Each of those either goes without, or gets a photograph made under different conditions, and the set drifts.

Any honest comparison has to include what the second, third and fourth rounds cost, and how well the results match the first. A per-person model prices the marginal arrival at exactly the same rate as everyone else and generates them from the same stored style.

What the arithmetic looks like here

One credit covers one colleague and produces forty finished images, for $39 a head at list. That drops a fifth from the fifth credit, reaches 30% at twenty-five, then 40% and half at one hundred and at two hundred and fifty, with the band set by the account total rather than by a single order.

Nothing is charged for invitations, reminders, review, the group archive, branded profile pictures or the API, and a rejected set earns a free retake rather than a second charge.

Frequently asked questions

Why not publish a table comparing you with studio prices?

Because we would have to invent the other column. Photography rates vary by city, by year and by what is included, and a table built on guesses would be marketing rather than information. The structures are comparable; the amounts have to come from a real quotation you obtain yourself.

Is a photographer ever the cheaper option?

For a group that is genuinely in one place on one day, a day rate spread across enough people can work out well, and the result is a real photograph of a real room. The arithmetic turns when the group is spread out, when attendance is partial, or when new colleagues keep arriving after the day is over.

What is included in the per-person price?

The forty images that colleague receives, the shared style they are generated inside, the invitation and reminder emails, the review step where an organisation uses it, the branded profile picture versions where a brand template exists, and the group archive with its manifest.

How do we estimate the internal time cost of a traditional shoot?

Multiply the number of participants by the interruption each one absorbs (usually more than the appointment itself, once walking, waiting and getting back to work are counted) and add the organiser’s time and the follow-up round. It is a rough number, but leaving it at zero is rougher.
