Consent that belongs to the individual
Employees are often more cautious about a generated portrait than the company expects, and that caution deserves a real answer rather than reassurance. Nobody is processed without accepting a consent text themselves, and the acceptance is stored against the version of the text that was on screen at the time.
When that text changes, people are asked again on their next upload instead of being treated as having agreed to something they never read. Participation is individual throughout: an employee who ignores the invitation is simply not photographed, and no credit is spent.
Your selfies are used to generate your headshots and deleted at the end of the retention period.

Deleting is something a person does, not requests
Inside every invitation there is a private page from which a person removes their own material outright, without asking an administrator and without opening a ticket. The confirmation they receive is written and carries a reference.
Separately, anyone can submit a data request through the public request form, which reaches our privacy inbox and is tracked. Uploaded selfies do not linger either way: they go when their retention window ends, and images travel only on signed links that stop working shortly afterwards.
Your selfies are used to generate your headshots and deleted at the end of the retention period.

Companies here tend to have careful design systems and a team page assembled from whatever people sent in, which is a strange contrast for a visitor to meet. Because the organisation chooses backdrops and outfits before anybody is invited, the portraits can be made to sit inside the existing design rather than fight it.
Where a brand template is defined, the same portraits are also produced as branded profile pictures at two sizes, so internal tools and the public site show the same person in the same treatment.

Frequently asked questions
Can an employee refuse without it becoming an issue?
Yes, and refusing is the default outcome of doing nothing: the invitation simply goes unused. Only people who accept the consent text and upload are processed, which means the organisation never ends up holding material for somebody who did not want to take part.
Where can we read the legal detail?
In four published documents: the privacy notice for Teams, the sub-processors list, the security page and the data processing agreement. Each is versioned and dated, so it is possible to see when it last changed. This page is not legal advice and does not attempt to be.
Our team speaks English at work but not everyone does. Is the flow translated?
The product ships in English and Italian, including the employee screens and the emails. A colleague who reads neither comfortably still only has to accept a text and pick photographs from their camera roll, which is a short path either way.
Does an admin see every gallery?
Owners and admins of that organisation do, which is how review and the group download work at all. Nobody outside the organisation does, there is no public gallery address, and the admin area itself is unreachable for anyone without the right role on that organisation.
